A.F.Y. Security Distributors, Inc. ("A.F.Y.," "AFY," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use the AFY mobile application (the "App"), visit afydist.com or other websites that link to this Policy (the "Website"), communicate with us, or purchase products and use our related services (collectively, the "Services").
 
This Policy does not replace our credit terms, sales terms, or other agreements that may apply to your AFY customer account or purchases.

1. Information We Collect

The information we collect depends on how you use the Services.
Information you provide
We may collect information you provide directly to us, including:
  • Account and contact information, such as your name, business name, email address, telephone number, username, password, customer or account number, and other information associated with your AFY customer account.
  • Order and delivery information, such as products and quantities ordered, shopping-cart contents, purchase-order or job information, billing and shipping addresses, delivery or pickup selections, estimates, returns, and order history.
  • Payment and financial information, such as the payment method selected, payment amount and status, account balance, credit terms, payment history, and identifiers for saved payment methods. When you enter payment-card information in the App, the information is collected and processed by Stripe and its financial partners. AFY receives tokenized payment identifiers and transaction results rather than your complete card number or security code. Saved ACH payments are processed using the payment method already associated with your AFY account.
  • Communication preferences, including your choices for operational notifications, promotional push notifications, newsletters, and other marketing communications.
  • Communications with us, including information you provide by email, telephone, contact forms, support requests, credit applications, surveys, or in-person interactions.
Information collected automatically
When you use the App or Website, we may automatically receive:
  • Device and app information, such as a randomly generated installation identifier, device name and model, operating-system version, App version, notification authorization status, and Apple Push Notification service token.
  • Network and activity information, such as IP address, request dates and times, pages or resources requested, browser type, referring page, and server or security logs.
  • Website cookies and similar technologies. The Website uses cookies, pixels, tags, local storage, and similar technologies. Necessary technologies support security, login sessions, shopping carts, account features, and other core Website functions. Subject to your choices and applicable law, we may also use preference technologies for optional features such as live chat, statistics technologies to understand Website traffic and interactions, and marketing technologies to measure advertising effectiveness. These technologies may collect or receive information such as your IP address, cookie or device identifiers, browser and device information, pages viewed, referring pages, dates and times, and interaction events. Web pages or resources opened from the App may use the same technologies as the Website.
  • Website services. We use Google Analytics to measure Website traffic and interactions, Meta Pixel to measure and support advertising, and Tawk.to to provide live-chat functionality. We may also use first-party tools to measure interactions with notices, forms, and popups. These providers may process information as described in their respective privacy notices: Google Privacy Policy, Meta Privacy Policy, and Tawk.to Privacy Policy.
The AFY mobile App does not use third-party advertising SDKs and AFY does not use the App to track your activity across other companies' apps or websites for advertising.
Information from other sources
We may receive information from your employer or business-account administrator, payment processors and financial institutions, shipping carriers, manufacturers, fraud-prevention providers, and service providers that operate parts of the Services on our behalf.

2. How We Use Information

We may use personal information to:
  • Create, authenticate, secure, and administer customer accounts and App sessions.
  • Display customer-specific products, pricing, inventory, balances, credit terms, payment history, orders, estimates, invoices, statements, and purchased products.
  • Maintain shopping carts; process and fulfill orders, payments, returns, pickups, deliveries, and shipments; and provide order and tracking updates.
  • Process account-credit, payment-card, and authorized saved ACH transactions and help prevent fraud, misuse, and payment disputes.
  • Register devices for push notifications and deliver operational messages, promotional messages when selected, and notification-linked App content.
  • Provide customer service and respond to inquiries, requests, and complaints.
  • Send newsletters, product information, promotions, event information, and other marketing communications in accordance with your choices and applicable law.
  • Operate, troubleshoot, protect, evaluate, and improve the Services.
  • Enforce our agreements, collect amounts owed, protect our rights and the rights of others, and comply with legal, accounting, tax, audit, and regulatory obligations.
  • Carry out another purpose disclosed to you when information is collected or with your consent.
  • Measure Website traffic, performance, and interactions using analytics tools, subject to consent where required.
  • Measure advertising effectiveness and, where permitted by your choices and applicable law, support advertising and audience measurement.
  • Provide optional Website features, including live-chat functionality.
Where applicable law requires a legal basis for processing, we process personal information as needed to perform a contract or take requested pre-contract steps, comply with legal obligations, pursue legitimate business interests that are not overridden by your rights, and based on consent where consent is required.

3. How We Disclose Information

We do not sell personal information for money. The AFY mobile App does not use personal information for cross-context behavioral advertising. On the Website, our use of technologies such as Meta Pixel may be considered “sharing,” “targeted advertising,” or “cross-context behavioral advertising” under certain privacy laws. Where applicable, you may opt out through Cookie Settings or a “Your Privacy Choices” control.
We may disclose personal information to the following recipients for the purposes described in this Policy:
  • Service providers. Vendors that provide application hosting and platform services, data storage and delivery, security, customer support, communications, document delivery, and other technical or operational services. This includes Know Co., which provides technology and hosting services used to operate AFY's customer platform and App.
  • Analytics, advertising, and communication providers. Google Analytics, Meta, and Tawk.to may receive Website activity, device, browser, cookie-identifier, and communication information to provide analytics, advertising measurement, and live-chat services. Tawk.to may also process information you choose to submit through live chat. Their processing is subject to your choices, applicable law, and their respective privacy notices.
  • Payment and financial-service providers. Stripe, banks, ACH providers, card networks, and other financial partners involved in authorizing, processing, settling, securing, or disputing transactions. Stripe's handling of information is also described in the Stripe Privacy Policy.
  • Apple. Apple may process App Store, device, and push-notification information in accordance with its own terms and privacy policy, including when the App uses the Apple Push Notification service.
  • Fulfillment and business partners. Shipping carriers, delivery providers, manufacturers, distributors, and other parties as reasonably necessary to quote, fulfill, deliver, track, return, or support products and orders.
  • Professional advisers. Accountants, auditors, insurers, attorneys, and other professional advisers where reasonably necessary.
  • Government authorities and other parties for legal or safety reasons. We may disclose information when we reasonably believe it is necessary to comply with law, legal process, or lawful requests; investigate fraud or security incidents; enforce agreements; collect amounts owed; or protect AFY, our customers, or others.
  • Parties to a business transaction. Information may be disclosed in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction, subject to appropriate confidentiality and legal protections.
  • Other parties at your direction or with your consent.
We require service providers that process personal information on our behalf to protect it, use it only for authorized purposes, and provide the same or an equivalent level of protection required by this Policy and applicable law.

4. Cookies, Notifications, and Marketing Choices

Necessary cookies and similar technologies are used to provide core Website functions and cannot be disabled through our consent tool. Preference, statistics, and marketing technologies are disabled until you choose to enable them. You can accept or reject non-essential categories and change your choices at any time through Cookie Settings. Withdrawing consent affects future processing and does not automatically delete cookies already stored on your device; you can delete stored cookies using your browser settings.
 
Push notifications are optional. You can change operational and promotional notification preferences in the App and can disable all App notifications in your device settings. Disabling push notifications does not prevent us from sending non-promotional communications that are necessary to process an order, payment, account matter, or other requested service through another available channel.
 
You can unsubscribe from marketing emails by using the unsubscribe link in the message or by contacting us. You may continue to receive transactional or account-related communications after opting out of marketing.

5. Data Retention and Deletion

We retain personal information for as long as reasonably necessary to provide the Services, maintain the customer relationship, fulfill the purposes described in this Policy, and meet legal, tax, accounting, credit, fraud-prevention, dispute-resolution, and recordkeeping obligations.
 
Retention periods vary by the type of information and the reason it is held. For example, order, invoice, payment, credit, tax, and transaction records may be retained after an account is closed when required or permitted by law or needed to establish, exercise, or defend legal claims. Device registrations and notification tokens are retained while needed to provide App and notification services and are disabled or removed when no longer required. We may retain de-identified information that can no longer reasonably identify you.
 
The App stores an authentication token and installation identifier in the device Keychain to maintain and secure your session. Logging out removes the locally stored refresh token. Removing the App deletes its standard local App data, but some Keychain data may remain under the device operating system's normal behavior. Removing the App does not by itself delete AFY's server-side account or legally required business records.
 
You may request deletion of your user account and associated personal information by contacting us as described in Section 11. We will verify the request and delete or de-identify information unless retention is required or permitted for legitimate purposes such as completing transactions, keeping financial and tax records, preventing fraud, collecting amounts owed, resolving disputes, enforcing agreements, or complying with law. We will explain if information cannot be deleted.

6. Your Privacy Rights

Depending on where you live, you may also have the right to opt out of the sale or sharing of personal information, targeted advertising, or certain forms of profiling. You may exercise available cookie and advertising choices through Cookie Settings or a “Your Privacy Choices” control. Where required by applicable law, we also recognize legally valid browser-based opt-out signals, such as Global Privacy Control.
 
To exercise a privacy right, contact us using the information in Section 11 and describe your request. We may need to verify your identity and authority over the relevant account. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and verification of the account holder. We will not discriminate against you for exercising a privacy right.
 
Withdrawing consent does not affect processing already performed and may not stop processing required to provide a requested service, perform a contract, or comply with law.

7. Security

We use administrative, technical, and physical safeguards designed to protect personal information. These safeguards include encrypted network connections, access controls, secure device storage for App authentication tokens, and use of payment providers so AFY does not receive complete payment-card numbers entered in the App. No security measure or transmission method is completely secure, and we cannot guarantee absolute security.
 
You are responsible for protecting your account credentials and should contact us promptly if you believe your account has been accessed without authorization.

8. Children's Privacy

The Services are intended for AFY business customers and professional users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can investigate and take appropriate action.

9. External Links and Services

The Services may link to websites, product resources, shipping-carrier pages, or services operated by others. Their privacy practices are governed by their own notices, not this Policy. We encourage you to review those notices before providing information.

10. Changes to This Policy

We may update this Policy to reflect changes to the Services, our practices, or legal requirements. We will post the updated Policy and revise the "Last updated" date. We will provide additional notice when required by law. Material changes apply prospectively from the effective date stated in the updated Policy.
